Medical Billing Services Save Heatlhcare Practices Money and Time

There are many reasons healthcare practices might outsource their billing to a professional medical billing service; confusing insurance requirements, staffing problems and just keeping up with industry changes are a few examples. In the end though, the reasons most medical billing companies hear about come down to the two driving principles of any business - Time and Money. This article discusses how medical billing services are able to create significant savings in time and money for healthcare providers.
Medical Billing Services Save Training and Research Time
- Some readers might take the short view and think medical billing companies just enter data into a computer and send it off to a clearinghouse. In reality medical billing is a detailed process requiring specialized skills and in-depth knowledge of medical practice management, insurance industry practices, and the regulatory framework around state and federal laws. Professional medical billing companies invest countless hours in training and research to keep abreast of current codes, submission requirements, industry trends and the needs of their clients.

Significant expenditures are also made to ensure medical billing companies are up to date on the latest software. In a constantly changing industry, software vendors are always finding new and better ways of supporting practice needs. It's not practicable for small or medium sized practices to dedicate the time necessary to stay on top of the latest innovations.

These investments of time by professional medical billing services are often not considered by providers, but they eliminate endless hours otherwise spent in seminars, meetings with vendors, or on the phone with clearinghouses and carriers. This time savings creates a valuable commodity for a practice seeking the edge necessary to keep up with a rigorous patient schedule.

Medical Billing Services Save Operational Time
-Medical billing services are able to save operational time by leveraging the economy of scale and the efficiency of task specialization.

Professional medical billing companies, by their very nature, create an economy of scale in maintaining a team of medical billing professionals to provide services across several practices. This structure creates a well trained pool of resources to manage each practice's needs rather than just one individual overseeing all billing functions. The team approach also removes interruptions to revenue flow that result from vacations, unexpected sick time and staff turnover.

Task specialization among teams further heightens the efficiency of medical billing companies. Through task specialization, a team of billers can accentuates individual skills and reduces distractions of other activities.

Consider a provider who sees an average of 30 patients per day, or a total of 150 encounters per week. The time required to generate and submit 150 patient claims and follow up with insurance carriers with a high lever of accuracy can take up most of the time of an in-house biller. But this is just the beginning. That same individual will also need to follow up on denied or partially paid claims, researching why and resubmitting for further review. Patient invoices require additional time- printing, stuffing and mailing- as well as posting payments, running reports and providing detailed analysis on the current state of the practice; all this just to meet the standard offering of professional medical billing companies.

Through task specialization, medical billing companies might offer each of its clients several billers submitting claims and reviewing insurance payments with the highest level of accuracy. At the same time, the service might have other individuals or groups dedicated to managing patient invoices and questions across several practices with increased efficiency. This approach maximizes the time available for each activity by specialists with a greater knowledge of their roles, and, again, guarantees minimal (if any) interruption during employee leave and staff changes.

Medical Billing Services Save Money
-Hiring and training new staff, employee benefits, vacation/sick leave, and staff turnover are just a few factors increasing the costs of managing an efficient in-house billing program. Added to the operational overhead of day to day billing, software/hardware maintenance, clearinghouse fees, postage, and so on, the list of expenditures for practices is endless.

Good medical billing companies will design their services around covering all of these costs and immediately do away with the problems they create. To clearly demonstrate how medical billing services can save practices money, let's compare the core costs associated with in-house medical billing against working with a professional medical billing service.

Cost of In-House Billing:
Our comparison begins with a typical practice with one or two providers. Let's assume this practice has a dedicated, in-house biller receiving an annual salary of $30,000, or about $14.50 per hour. The chart below outlines the additional costs of having a full time employee in the office to handle all aspects of medical billing.

* Base Pay --------------------------$30,000
* Medicare and Social Security ---------$2295
* 401K --------------------------------$1080
* Disability -----------------------------$720
* Healthcare --------------------------$5220
* Time off -----------------------------$3270
* Total labor for 1 in-house biller ------$42,585

Next, we'll need to consider materials and fees. An average practice will probably upgrade computers and software every 3 years at a cost of about $6,000. Spread out over those three years, we'll assume an average annual software/hardware expenditure of $2000. Since our practice will send out its own patient statements, we'll need about $150 per month for postage, paper and envelopes, an annual cost of $1800. Clearinghouse fees for electronic claims will come to about $60 a month, or around $720 annually. For the sake of simplicity, we'll forget for the moment that our biller will need a climate controlled workspace, lights, general office supplies and a desk.

Here's what our list of software/hardware, materials and fees looks like:

* Software/Hardware -----------------$2000
* Materials ---------------------------$1800
* Clearinghouse Fees ------------------$720
* Total ------------------------------$4520

Adding the two totals above (labor + materials & fees), the annual cost of medical billing services performed in-house by the practice comes to $47,105 per year. Of course this number might not mean much until we put it in perspective against teaming with a professional medical billing service. As we move forward, keep in mind this conservative estimate does not factor in those other costs mentioned above that are often hidden - ongoing training, unexpected leave and sudden staff changes.

Cost of Professional Medical Billing Services:
To evaluate the cost of working with medical billing services, we'll assume our practice has contracted with a medical billing company for full service billing. This includes all of those activities that would otherwise have been performed by the in-house staff above; claim generation/submission, insurance follow up, patient invoicing and support, detailed reporting, expert practice analysis, etc. We'll also assume the practice has negotiated a rate of 8% of collections with its professional medical billing service.

Note: Calculating costs for medical billing services will vary slightly depending on the fee structure but will usually be based on either a percentage of collections or a fixed fee per claim. For more information on fee structures, see Percentage vs. Flat Fee Pricing by Medical Billing Services.

Assuming our provider visits 30 patients per day, 50 weeks out of the year, we'll have 7500 patient encounters per year. If each encounter results in an average reimbursement of $60, our receivables come to a little over $450,000 per year. At a rate of 8%, the annual cost for the professional service to manage all aspects of medical billing services for the practice would be $31,500. In comparison with in-house services that's a savings of $15,600 per year!

Summary
In evaluating the benefits of outsourcing to a professional medical billing company practices should consider the overall savings in time and money, beyond just minimizing the hassles. Medical billing companies provide knowledge, training, continuity of operations and a network of support leveraging task specialization and the economy of scale. Medical billing companies are able to eliminate dependency on one or two costly staff members to maintain revenue flow for the entire practice.

What Type of Medical Billing and Coding Platform is Better

The role of the medical billing along with coding specialist demands you to use some, some would say, rowdy software. There are a number associated with medical billing and also coding schools throughout New York with particular modules focused entirely on dealing with grips with the billing and coding application itself. There is also a range of medical coding training online that look into this issue.

The first thing to notice is not all health care billing and programming software is the same. It is important for you to choose a excellent program from the start, since some are significantly easier to use than others and will save you several hours when it comes down to in fact inputting all the info and looking over and analyzing the results.

It's likely that during your school education you will be taught using several different medical payment and coding programs. The reason the schools make this happen is so to make the particular transition easier whenever you move from school to a job. Different medical billing and coding jobs will require you to employ different software packages. Greater you are trained up on from the beginning the better, because this extra training raises how attractive your work application looks together with other people who have only already been trained to use a single software package.

That said, learning these different software programs can be all for nothing if you land your hair a job with a bigger medical facility which chose to stray away from tradition and use their own application. Of course, they will be aware of this inconvenience for your requirements and will train you way up accordingly, but it's simply something to take note of. Never allow their software scare you. It may look vastly different to the packages you have employed in the past, but if you gaze closer the likelihood is you will observe many similarities at the same time.

As an ending words of advice, when you apply for a healthcare billing and html coding role make sure you learn beforehand what payment software that organization uses so you can rapidly revise your skills ahead of the interview. There's nothing even worse than turning up to an interview and not to be able to use the software you're given because you've become acquainted with another type and structure. If you do your research well you will be grateful for it when you eventually do land the job!

How Medical Billing Outsourcing Can Help Your Medical Billing Company

It has become a growing concern that instead of taking care of and ensuring the wellness of their patients, some doctors spend more time filling out forms and processing transactions for their bills. This is the issue that medical billing companies address; they give room to their clients, who are doctors and medical institutions, to focus more on their core businesses. But this is not the only benefit that billing companies pitch to those belonging in the medical field. In fact, it can be said that there is a lot more to medical billing than this.

It is imperative for medical billing companies to have a streamlined process that will allow them to support their clients. Having a large volume of transactions coming their way as more doctors and medical institutions realize the benefits of delegating their billing work to a medical billing company, medical billing companies now to turn to a third-party solutions provider to assist them in establishing a process that will further enhance their service. Aside from payment postings, there are other tasks that are incorporated with the medical billing process and these tasks are completed with a range of benefits attached to them.
Time: Primary Concern of Physicians

With a solutions provider, a biller can attend to an average of 5 clients per day. A quick turn-around time is one of the key benefits of outsourcing your medical billing transactions to a solutions provider but with a 5:1 ratio of clients to billers, one might think that it is impossible to hit a fast turn-around time. As a matter of fact, it is not since it has become a trend for most outsourcing companies to surpass the turn-around time suggested by billing companies with that kind of ratio mentioned.

Aside from having the assistance of technology, such as medical software and claims systems, outsourcing companies also implement efficiency methods to hasten transaction processing. Upon the development of a streamlined process and efficiency methods, solutions providers are now able to meet the metrics set by their clients.

Cost: Where Less Can Bring More

One of the concerns of companies who outsource is to be able to lessen their costs but still maintain, if not improve, the quality of service that they are currently delivering. In-house medical billing is gaining its popularity today since it has its fair share of benefits with regards to medical billing companies having the opportunity to check on their employees and assess their performance. However, there are cases where in-house medical billing companies, on average, have a higher number of billers attending to a single client, which results to higher costs for the company, while a solutions provider can provide a 5:1 ratio of clients to billers. This comparison reflects a remarkable difference in a company’s budget between hosting in-house medical billing and turning to a third-party solutions provider.
Data: Accuracy Rates That Exceed Expectations

According to a survey conducted by the Medical Association of Billers, there is only a minimal percentage of their biller respondents who review and verify each of the explanation of benefits (EOBs). With this minimal rate, it helps if a solutions provider is able to produce accuracy rates that exceed the expectations of their clients.

Solutions providers can help a billing company deliver hundred percent accuracy rates in the entire process of medical billing, especially if they are able to design a process that can ensure the quality of service rendered. According to an article we have previously published, 8 out of 10 bills contain errors, but there are a number of measures a company can take to reduce errors, or better yet, to provide a 100% error-free transaction. Processes to ensure quality may include the implementation of meticulous data reviews and weekly call reviews.

The key benefits of seeking the assistance of a third-party solutions provider may be the same for all industries falling under the outsourcing bracket, but what separates medical billing outsourcing is that it can directly and instantly improve a company’s revenue cycle.

Understanding Medical Billing And Coding

Medical Billing and Coding is essential for the health care industry, and fast becoming a viable career option for many people. While many people usually have a career that deals with both, in reality, they are quite different from each other and come with dissimilar job responsibilities. When looking for a job in this field it is not important to have specialization in both fields.

Medical Billing

Medical billing deals with the process of submitting claims forms of patients to insurance companies, and providers of workers' compensation, Medicare and Medicaid. They also have to ensure that timely payments are made for the services that the doctor and health care centre have rendered to the patients. In the event of any problem claims or unpaid claims, they have to follow it up with the insurance providers and settle the issue.

Medical Coding

Another name for medical coding is medical classification. Medical codes are universal alpha numeric codes that are used to identify patient’s diagnosis, medical procedures, diseases, and injuries. In order to assign these medical codes, the coders have to make a study of the medical records of the patients, doctor’s notes and lab results. These medical codes are generally used on claims forms, which are submitted to Medicare and Medicaid and insurance providers.

Scope of Medical Billing, Coding as a Job

Professional medical billers and coders are in great demand. They smoothen the functioning in health care centers and take on the more technical work. Doctors and patients don’t have to worry themselves about following up with insurance companies to find out about the status of their claims. Hospitals, Pharmacies, laboratories, doctor’s offices, and other health care providers are always looking for experienced professionals who can handle medical billing, coding, and some other related services.

For those who want to take up this job, they some basic training is required. However, with a few years of experience, you can easily set up your own business and make medical billing and coding into a challenging, money-making enterprise.

Are You Having Problems With Medical Billing Collections? Put These Six Important Steps Into Practice Today

Medical billing collections use is growing, as many doctor's offices, medical facilities and hospitals confront ever-increasing past due debts from slow paying patients and back-logged insurance claims.

Along with over 40 million Americans without any health insurance, a slow economy due to recession, and growing unemployment, means shrinking positive cash flow for medical professionals.

Given that prognosis, there are a number of things you can implement to increase your internal medical billing collections. By putting these six tactics into place, you can greatly improve your financial bottom line.

1. Be sure you have a clear payment procedure, placed visibly at the front of your office. New patients need to understand clearly what, if any, payment is expected upfront, in regards to co-pays, etc. This should be understood BEFORE rendering service.

2. Its vital to collect ample and accurate client information at the first visit to the doctor's office. Gather the patient's full name, birthdate, address, work, home and cell phone numbers.

Get their work information: address, phone number, their title or position, supervisor/manager, etc.

Clearly, the more information you can get here, the better. While some patients may balk at giving their social security number, its still a good idea, especially if the account has to be turned over later to a collection agency.

3. If the patient has private health insurance, its important that you verify coverage at this point. The hectic pace of the doctor's office during peak times shouldn't be an excuse for ignoring this crucial step. Verifying coverage here will save you, and your staff, many headaches later.

4. In the initial patient application, be sure to clearly detail the patients' responsibility for payment. You might also consider including language that should the account have to be turned over to a collection agency for non-payment, the patient will be responsible for collection costs.

In some states, the medical practice can recover their expenses for hiring a collections agency. But it has to be stated in the original patient-signed application at the beginning. (Be sure to check with your attorney about this, as state laws vary)

5. Allow patients to make payment arrangements for those going through financial difficulties. Because so many are either uninsured or under-insured, making reasonable payment arrangements via installments gives them more options, and greater peace of mind. It will also help generate cash flow to your practice.

6. Know when its time to turn problem delinquent accounts over to a debt collection agency. As covered earlier, rising unemployment, a recession and slow economy, and lack of health coverage has caused greater financial burdens for some patients, making it more difficult to pay for health care.

Most people want to do the right thing and pay their debts. But let's face it: others are less responsible. By implementing the before-stated procedures, you can better identify the patients going through temporary financial straits. Payment arrangements, and continual communications can address those problems.

With that, the more problem, non-paying clients have to be identified earlier as well. These are the ones to be outsourced to professional collection agencies who are better equipped to handle these types of accounts.

Failing to do so means wasting valuable time, labor and money dealing with difficult accounts. You can't afford to waste time here, because the longer an account goes unpaid, the lesser the likelihood of getting paid at all. By placing these accounts earlier, you greatly increase your opportunity for getting a great deal, or at least some of your money.

A good general rule thumb you should observe is after 90 days of no payment, medical billing collections should be outsourced to an outside collection agency.

These procedures are simple, but they're very important. And they can prove very effective in reducing your medical billing delinquencies. If you put these into consistent practice, you will greatly improve your medical billing collections.

Does Free Medical Billing Software Really Exist?

Free medical billing software exists, but it might not contain everything you need. The first question that you need to look at is not price, but if it can satisfy your needs.

Free medical billing software exists, but it might not contain everything you need. The first question that you need to look at is not price, but if it can satisfy your needs. Just because software is free doesn't mean that is sufficient. Also, you must look at the HIPAA issue. If a company has to come on your site to install a server, then they will have to install a firewall with a VPN to have any sort of communication. A VPN (Virtual Private Network) is a device that will allow secure communications between servers over the Internet. I have not found any electronic medical billing software companies that have a free model that works this way.

So, how can I get free medical billing software? Well, that's the tricky part. Once again you must have security to be compliant. There are a lot of web based medical billing software companies that supply a security certificate. That means that after you sign in to the website you will be directed through a web security certificate or SSL. All you need to look for is that whatever page that you are in on the web page starts with https://. If you have this at the top, you will also have a lock at the bottom of your browser. This lock lets you know that you have a secure tunnel that is encrypted between your computer and the server. Please consult your medical billing software provider for more specifics on HIPAA compliance.

Second, you have to look and see if you can file your claims electronically. Electronic medical billing software is a must. This means that you can file a claim and then it is sent to the carrier through some sort of EDI (Electronic Data Interface). Here is where the free falls out of free medical billing software. Many companies will charge you a fee for this. It does save time and will speed up your collection time; however, it is better if you do not have to pay this expense. Medicare does not allow a printed HCFA anymore, so if your practice depends on this you will be disappointed. Also, is the software up to date and how much will I be charged for updates? There are companies out there that do not charge for updates and it is best to go with those companies.

Third, how do I follow up on my claims after they are filed and do I get electronic messages back from the carrier? This is important. If you get an electronic message back through the software, then you don't have to spend any overhead on your employees calling the carrier to see status. Also, most medical billing software has scrubbing features to notify you of claims that are not clean. This will save you valuable time not waiting for an EOB to be able to send an appeal. It is much easier, if a claim is rejected first before submission and allows you to fix and resend.

In conclusion, I have realized that there is nothing that is truly free in this world. If a site says they are totally free, I haven't found it. But I have found a couple that got pretty close.

With the economy the way it is, I think these 2 have a viable software and niche. One is http://www.FreeMedicalBilling.Net This software gives you the software for free. There is a maintenance cost for support and data backup among other features of $12.50 per month per provider. Other fees are minor for third party vendor applications and patient statements. The second is Synamed. This software has a free version with a fee for support. Electronic submissions are available for a fee and many other options are fee based. Based on my research, I do not think you can get electronic medical billing software totally for free as there will always be a catch until Google buys one of them; however, until that time these are two good options.

Medical Billing Service - Increasing Profits And Decreasing Stress

Most health care professionals are specially trained in diagnosing, treating, and preventing disease, not medical billing. A medical billing service can help to make life easier for doctors and medical professionals across all disciplines and specialties by outsourcing this aspect of administrative work to a trained professional. With the complexities of medical billing and coding, this service can help relieve much of the administrative work associated with operating a medical practice. Medical billing services were created to help increase cash flow and profitability, which consequently provides more resources for the medical professional to better take care of their patients.

The medical billing and coding system can be difficult for the average administrative worker to understand. Although it is possible for the average administrative staff to handle billing and invoicing the insurance company, most will quickly find that doing so takes much of the focus away from caring for the patients. It can become difficult to keep through patient records and appointments when the administrator must also submit multiple invoices to several different insurance companies. Furthermore, any errors in the invoicing can result in a rejection of claims, which can result in a lack of cash flow. Instead, many medical billing services are owned and operated by a Certified Professional Coder (CPC) or Certified Medical Reimbursement Specialist (CMRS). These are professionals with an administrative background specialized in medical coding and billing. This is a vocation that requires extensive training that prepares the individual for handling insurance company claims. Although the certification is not required to perform medical billing, it certainly provides the training necessary to provide effective billing services.

While there is a cost associated with employing these services, there are more savings in outsourcing, rather than hiring and training additional administrative workers. For instance, many medical billing services charge for their services based on commission. This means that the service does not expect payment until they receive payment on behalf of the doctor. This provides a better value, especially since many services expect an up-front payment without any guarantee that their services are effective.

Efficiency is one of the best ways to make any business profitable. This is no different for a medical practice. Since many practices receive up to 90 percent of their income from insurance claims, efficiency in billing an invoicing can either make or break a successful practice. A doctor who is more concerned with submitting the proper paperwork to receive payment from the insurance company cannot focus on properly caring for their patients.
